Team Managers - Quick Tips

 It is a good idea to attend board meetings if at all possible to help you understand your new role and how the "hockey world" works. It is a great place to get answers to your questions.

As soon as you become manager, please contact your tier governor to receive your 1660(Novice) or NAI (all other age groups) login and password. If your do not receive a reply with 2 days from your tier governor, please contact the senior governor for that division. All of this information can be located on the 1660/NAI website. Once you get this information, enter a minimum of 2 staff contacts with email AND phone contact info,  and all player information into the 1660/NAI site. Also, please upload your HCR roster asap. Some governors require this to be emailed to them as well, ask them directly for clarification of this. NO LEAGUE GAMES CAN BE PLAYED UNTIL THIS IS COMPLETE! You can get your roster by contacting your current association registrar. All bench staff must have a copy of the roster as well and be able to produce it at all games if asked by the referee. I suggest taking a picture so that you have access at all times. NO PLAYER OR COACH may be on the bench without being listed on the roster. THIS INCLUDES MANAGERS. If you are not on the roster your CAN NOT appear on the gamesheet. The head coach risks suspension if this is not followed. Review your roster carefully. 

If your team wishes to use any affiliated players, they must also be on the roster. Contact the registrar for more information. Affiliated players and Overage players must be identified as such on EVERY game sheet as "AP" for affiliated and "OA" as an overage player.

Weather Cancellation, please know that the league WILL NOT cancel games due to weather. It is up to individual teams to determine whether driving conditions are too unfavorable to risk, but keep in mind it is winter in Alberta, only cancel if you feel conditions are truly unsafe. Cancelling because there is a "possibility" of a storm is not recommended. They must then contact the opposition and let them know with as much warning as possible. Games must be rescheduled using the game change form on the 1660 website. Both teams need to agree on the new date/time BEFORE game change form is submitted. PLEASE check the season timeline to make sure the game will be completed within the timeline schedule. For example preseason games will have a deadline mid-late October depending on the age category and tier. ***VERY IMPORTANT*** Remember to contact your Referee Coordinator and Arena staff to cancel the game as well. People do not want to show up for work only to find the game cancelled which will result in unnecessary expenses for the association.

All regular season games should already be booked with arena staff, however they sometimes make errors, so it is advisable to ensure your games, practices and tournaments are booked accordingly.  Practices and games which are cancelled, will not be reimbursed by PARS (except weather cancellations) so please make EVERY effort to use all ice slots booked for your team and do not book extra game/practice slots without board approval. 

Hosting tournaments and exhibition games: when hosting non-league games you will need a sanction permit. Ask your current registrar to obtain one for you and then remember to write the sanction number at the top of the game sheet. (For tournaments, write the sanction number at the top of all game sheets) When attending non-league games you may require a travel permit if you are travelling out of zone. You will also contact your registrar for this. Pembina is in zone 3, please see the zone boundary under the information tab on our website to see if the location you are travelling to is outside zone 3. 

Send ALL NON-LEAGUE gamesheets (eg tournament or exhibition) to our Hockey Alberta Zone 3 Discipline Coordinator who is currently Michelle Malbeuf at minordisc3@hockeyalberta.com (this means ALL initiation game sheets) This is the responsibility of the home or hosting team.

Also - if there are ANY suspensions or write-ups from the referees, these must also be sent to the discipline coordinator and an incident report form must be filled out on the 1660/NAI website. Suspended players and/or coaches must be marked as "suspended" on the gamesheets when they are serving their suspensions. They are not to be crossed off as "not playing". 

Suspended players/coaches ARE NOT to be in the dressing room, on or near the players bench, or in the timebox/penalty gate keeper area until their suspension has been completely served. They are allowed to participate in practices, but absolutely NO GAMES including exhibition and tournament games until they have served their suspension. Exhibition and tournament games DO NOT count towards their suspension. League scheduled games and Provincial games are the only ones counting towards the suspension. If there are not enough of these games at the end of the season, the suspension will be carried over to the next season. The head coach could be suspended indefinitely if he plays a suspended player (even unknowingly) it is his/her responsibility to find this information out.

It is very important to keep the arena AND the referee coordinator informed of your schedule. 

If you know of dates that you will not be able to participate in games (such as tournament dates) BEFORE the regular season schedule is released, you can submit a "black out" date request. This form is located on the 1660/NAI website. The scheduler will then try to keep that date open to avoid game changes.

Navigating the website:


The tabs you will need to learn about are as follows:

Players and Staff
Enter names and contact information for all players and staff. PLEASE only enter player names ONCE. If they are a different number for a game (eg a goalie) then simply change that number when entering the gamesheet information for that game.  For example, Brock Druar is player #24 when he plays out, so enter him on the roster as player #24, then when he plays as a goalie, change his number when entering the gamesheet information on the 1660 website. This way it only changes his number for that game and he will remain #24 on the roster.

Enter dates, times and locations of all practices

Games
All league scheduled games will automatically appear on our website if you have all information correct under the Settings tab (see below)

Ensure your reply to section has YOUR email address or parents replies to your emails will go nowhere.
